Short answer: Once it’s set up, phone call tracking tells your ad platforms which ads made your phone ring. If calls aren’t tracked, Meta and Google can’t count them, so for HVAC and other home service businesses where customers often call, your ads are judged on only part of your leads. Start by making sure every tap on your call button sends an event. That part is free.

The result: if you optimize for leads, the platforms learn from what they can count. Ads that mostly bring calls can look worse than they are.

How phone call tracking works

There are two levels, and most businesses only need the first to start.

Level 1: count the tap. When someone taps your phone number on your website, a tag you set up sends an event to Meta and Google. Google Tag Manager is free; the setup takes some time. It tells you someone tried to call, not whether they got through.

Level 2: count the call. A call tracking service, such as CallRail, swaps in tracking numbers by source, or from a pool of numbers per visitor. When one rings, it logs the call, how long it lasted and where it came from, and can send it back to your ad platforms. This tells you which ads produce calls, and, if you mark good calls, which produce real leads. Google Ads can also track calls itself with Google forwarding numbers.

Check 1: Is every phone number on your page tracked?

Count the phone numbers on your landing page: the header, the buttons, the footer. If you find two different numbers, one may be tracked and the other not. Or one may be left over from an old campaign.

Check: every number should be a tap-to-call link. Open Meta Events Manager, go to Test events, open your page from there and click each number. An event should arrive for each. Meta Ads Data Advisor (formerly Meta Pixel Helper) can miss button clicks, so trust Test events. My Meta Pixel Helper guide shows how to read both.

Check 2: Does your form actually work?

Forms break after plugin updates and website changes. A broken form shows no error in your ad account. The leads just stop.

Check: submit your own form at least once a month, and after every website change. Confirm the lead arrives in your inbox or CRM.

Check 3: Does your booking tool send the lead back?

If “Book Now” sends visitors to a separate scheduling site, the booking can happen where your tracking can’t see it. Unless the booking tool sends bookings back, your ads get no credit for jobs booked that way.

Check: book a test appointment. Then look in Meta Events Manager and Google Analytics. If no event shows up, your booking tool needs its own tracking, or a way to send bookings back.

Check 4: Are you running two Tag Manager containers?

Two Google Tag Manager containers on one page can mean double events, or an old container nobody maintains. Sometimes it’s on purpose, so ask before removing one.

Check: open your page, right-click, choose View Page Source, and search for “GTM-“. More than one different ID is worth asking your web person about.

Do you need call tracking software?

Start with Level 1. Make sure every call button and booking sends an event. It’s the cheapest place to start, but a tap isn’t a call: it doesn’t tell you whether they got through.

Add a call tracking service when you need to know which calls became booked jobs, or when a lot of people call your number from Google without visiting your site. Compare the services’ current pricing yourself; it changes often.

If your phone leads come in fine but aren’t turning into jobs, the problem may be lead quality, not tracking. See low quality leads from ads. And if your leads go into HubSpot, HubSpot conversion tracking shows how to send booked jobs back to your ad platforms.

Why check before winter?

Heating season is a busy time for many HVAC businesses. If calls aren’t counted, the platforms learn only from what they can see, during the weeks that matter most.

FAQ

What is phone call tracking? A way to see which ads, pages or sources made your phone ring, and to report those calls back to your ad platforms.

Can Meta track phone calls? It can count a tap on a call button as an event. It only knows about the call itself if you send it: from a call tracking service, your CRM, or your own server through the Conversions API.

Is call tracking only for big companies? No. Counting taps on your call button costs nothing beyond setup time. Paid call tracking is optional.

Why do I have two phone numbers on my website? It could be an old campaign, a call tracking number, or a second location. Find out what each one is for, check both are tracked, then decide.
